This policy explains what information the BeyondVision MNGHA Hackathon collects through this website, why we collect it, and how it is handled. The programme is operated by the Department of Ophthalmology at the Ministry of National Guard Health Affairs (MNGHA), in collaboration with King Abdullah International Medical Research Center (KAIMRC) and King Saud bin Abdulaziz University for Health Sciences (KSAU-HS).

Who we are

The data controller is the Department of Ophthalmology, Ministry of National Guard Health Affairs, Kingdom of Saudi Arabia. This website is beyondvisionmngha.com. You can reach us at beyondvisionmngha1@gmail.com.

Information we collect

Account details you provide when registering: full name, email address, phone number, organization or institution, speciality or field, and current level or qualification.
Application content you submit: project title, background and prior knowledge, proposed solution, expected value, and any file you choose to upload.
Team information: the names, email addresses, roles, specialities and qualifications of teammates you invite.
Evaluation data: scores, comments and conflict-of-interest declarations recorded by evaluators.
Technical data: your IP address, used only to rate-limit sign-in attempts and account creation in order to protect the service from abuse.
Activity records: an internal log of significant actions such as status changes and administrative actions, kept for accountability.

We do not collect payment information, and we do not collect patient data. Please do not include identifiable patient information in your submission.

How we use your information

To create and operate your account and your team’s application.
To review, score and rank submissions, and to communicate decisions.
To send service emails such as registration confirmations, teammate invitations, status updates, reminders and announcements.
To protect the service against abuse, including rate limiting and security logging.

We do not sell your information, and we do not use it for advertising.

Use of Google services and Google user data

This website sends its outgoing email through the Gmail API, using a Google account operated by the organizers. Authorisation is granted by the organizers through Google OAuth, and is used solely to send email from that account on behalf of the hackathon.

We use this access only to send transactional and administrative email relating to the hackathon.
We do not read, collect, index or store the contents of any Gmail mailbox.
We do not use Google user data for advertising, and we do not sell or transfer it to third parties, except as necessary to provide this service, to comply with applicable law, or as part of a merger or acquisition.
We do not allow humans to read Google user data unless we have explicit consent, it is necessary for security purposes or to comply with applicable law, or the data has been aggregated and anonymised.
Access can be revoked at any time by the organizers from the Google Account permissions page.

Our use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Who can see your information

Organizers of the hackathon can see applications, participant details and evaluation results.
Evaluators can see the applications assigned to them. Where blind review is enabled, team identities are hidden from evaluators.
Teammates you invite can see and edit your team’s application.

We do not share your information with anyone else, except where we are required to do so by law.

Cookies

This site sets cookies only where necessary: to keep you signed in, to remember your light or dark theme preference, and to serve pages efficiently. We do not use advertising or cross-site tracking cookies.

How long we keep your information

Applications, evaluations and account records are kept for the duration of the hackathon and for a reasonable period afterwards for reporting, verification and archival purposes. You may request earlier deletion, subject to any records we are required to retain.

Your choices

You can view and update your details at any time from your dashboard.
You can ask us for a copy of the information we hold about you.
You can ask us to correct or delete your information by contacting us at beyondvisionmngha1@gmail.com.

Security

Data is transmitted over HTTPS. Access to applications and participant details is restricted by role, and administrative actions are logged. No system can be guaranteed completely secure, but we take reasonable measures to protect the information you provide.

Changes to this policy

We may update this policy. Any change will be published on this page with a revised date above.
